Collaboration
Manage the collection and organisation of data and contract wordings.
Qatarlyst provides a collaboration service for customers to manage the collection and organisation of data and preparation of contract wordings with their counterparties before and during placement. It is provided through the qatarlyst Data Management Centre or DMC – an environment hosted by Qatarlyst and accessible with an email and a password through the Qatarlyst website.
For buyers, the DMC offers a group management tool where multiple people in multiple locations can feed in their insurance data profiles, in an auditable project, to create the submission data packs.
For brokers, the DMC is the place where they can coordinate their customers, retail offices, regional agents and markets. It also provides their customers with an improved level of service, allowing them to view and participate in the preparation of an audited renewal presentation process.
Why the DMC?
Project-based
With a username and password, users from different departments, locations and organisations can easily share documents and information. All documents, mail, discussions, people and To Do items are organised into projects and sub projects. A project activity log contains a record of all actions by all project participants. A user can maintain a number of projects, each with different participants from many companies or offices around the world, all accessible through one interface.
Document Controls
The DMC is a securely hosted application where submission documents and wordings can be stored, shared efficiently and version controlled. Access rights ensure that only approved users amend documents, and the history of all previous versions is kept.
Part of the Full Trading Service
The DMC is integrated with the Contract Management Centre to allow users to collaborate on submission forms and contract wordings. It also sits alongside the Marketplace where submissions can be distributed, and contracts are bound and endorsed electronically.
Low Cost of Ownership
The DMC offers a cost effective way for companies to implement a groupware application across the organisation. It imposes no hardware footprint and requires no installation (the only requirement is use of Internet Explorer v6+). It is accessible from any PC connected to the Internet. It requires no maintenance, upgrade or update by the customer.
Qatarlyst provides a helpline for user support. This means that Qatarlyst’s customers do not need to provide user-help or system administration. Furthermore, Qatarlyst employs enterprise-level hosting, security, data backup and disaster recovery.
Features and benefits
User Permissions

Invited participants can be given rights to view only or actively participate in a project. They can additionally be given rights to view or edit documents in the project. Project Manager has the full control over the level of users’ involvement in the project.
Document Versioning

A document check-out feature ensures that only one person at a time can edit the document, offering document version control with a full history. An audit trail of information is present as all changes to documents are logged along with time and identity of the user.
Messages

Project participants can send private (one to one) messages and start public (one to many) discussions, both of which are linked to the project. It is easy to collaborate on information with users from different locations. Documentation can be commented on, discussed and signed off.
Audit Trail

All documents, emails, discussions, To Do items and sub-projects are filed within the main project folder. Companies have an automatically filed audit trail of information.
Structure

Multiple sub projects can be created to organise different components of the project appropriately. Project Managers have maximum flexibility to organise projects across different activities and users according to their preference.
Timeline and Task Management

An ability to create and assign To Do items for yourself or others, and manage them within an overall timeline for the project. Project Manager can set a project’s lifecycle in advance and ensure that all participants are aware of the tasks and time scales involved.
Data Download

Users can download all project documents, emails, discussions and To Do items as PDF files. An independent record of the project can be stored and used offline.
Activity Log

Project Managers can download a file which lists all project activities by all project participants. Each activity is date and time stamped, and associated with a project participant. A history of all project actions is readily available. This data can be used to understand the progress and changes in the project.
Templates

Content and structure of the most frequently used projects can be stored in a template. Template allows quick and easy creation of new projects or sub projects.
